Cancellation & Refund Policy
How to cancel, and how refunds are decided.
1. How to cancel
Open Check My Booking, enter your booking reference and the email or phone number you booked with, then choose "Request cancellation". Your place stays booked until an organiser reviews and confirms your request — cancellations are never approved automatically.
2. Cancelling in good time
- Cancel at least 24 hours before the session starts for a full refund of anything you've paid.
- The usual deadline is 24 hours before the session starts. Some sessions set their own deadline. It's shown when you book and on Check My Booking.
3. Late cancellations
- Cancellations after the deadline are reviewed by an organiser.
- There's no fixed deduction. An organiser looks at each late cancellation individually.
- Any deduction will be fair and in proportion to the club's actual loss. We take into account whether your place was filled by someone else, any exceptional circumstances, and your consumer rights.
4. No-shows
If you don't come and didn't cancel, you normally won't get a refund. We'll still consider exceptional circumstances, and your statutory rights always apply.
5. If we cancel a session
If Smash Potatoes cancels a session, you'll get a full refund of anything you've paid. We may offer you a place at another session instead, but only if you choose to accept it.
6. Group bookings
If a group booking is cancelled, we look at each affected player separately when we decide the refund.
7. How refunds are made
- An organiser reviews and records every refund by hand. Refunds are never sent automatically.
- Organisers write down the reason for each decision, including any deduction or exceptional circumstances.
- Refunds are sent by bank transfer, so they aren't instant. You can follow progress on Check My Booking.
- All cancellations and refunds are at the organiser's discretion, within this policy and your statutory rights.
Policy version 2026-10-27-v2. Each booking keeps a copy of the cancellation terms accepted when it was made. Nothing in our policies affects your statutory rights. See also the Booking Policy.
